We respect your privacy and are committed to safeguarding the proprietary and personal data entrusted to us by restaurant owners, staff, and their guests.
This Privacy Policy describes our practices concerning how we collect, store, process, and protect your information when you access ordervaani.com, use our cloud application at app.ordervaani.com, or interact with our mobile/tablet applications and APIs.
1 Information We Collect
Depending on whether you are a prospective restaurant partner, registered tenant/owner, staff member, or restaurant customer scanning a table QR code, we may collect the following categories of information:
- Account & Registration Details: Name, business name (restaurant, cafe, bar, food court counter), phone number, email address, physical outlet address, GSTIN (optional/for tax invoicing), and login credentials.
- Operational & Transactional Data: Menu items, prices, modifiers, table configurations, kitchen order tickets (KOTs), order timestamps, payment modes (UPI, Cash, Card), and bill summaries.
- Staff Profile & Role Data: Names or aliases for captains, cashiers, kitchen staff, and role-based permissions created by the restaurant administrator.
- Customer / Diner Data (QR Ordering): Phone number and customer name (if entered for receipt SMS/WhatsApp or loyalty), table number, and items placed via contactless table QR menus.
- Device & Telemetry Data: Browser user agent, device model, IP address, screen resolution, operating system, network connectivity status, printer agent statuses, and crash logs to ensure offline sync and reliable high-speed printing.
2 How We Use Your Information
OrderVaani utilizes collected data strictly to operate, provide, optimize, and support our restaurant POS solutions:
Fulfillment & Order Routing
Transmitting orders instantly to thermal kitchen printers, kitchen display systems, and waiter notification devices with zero delay.
Multi-Tenant Isolation
Strictly segmenting menus, sales statistics, inventory logs, and staff permissions so only authorized personnel access your outlet's data.
Offline Sync & Resilience
Synchronizing transactions between local device databases (IndexedDB) and our cloud cluster whenever internet connectivity toggles.
Communication & Support
Providing customer support, answering demo requests, sending software update bulletins, and notifying administrators of subscription events.
3 Our Commitment: No Sale of Data & No Spam
OrderVaani does not sell, rent, license, or trade your restaurant customer lists, patron contact information, or financial transactional data to third-party marketing companies, data brokers, or advertisers. Your business data belongs to your restaurant.
4 Data Storage, Security & Encryption
We implement industry-grade technical and organizational safeguards to safeguard restaurant data against unauthorized access, loss, or manipulation:
- Encryption in Transit: All communications with ordervaani.com and our application servers are encrypted using modern Transport Layer Security (TLS/HTTPS).
- Authentication & Role-Based Access: Password hashing (bcrypt), token-based API authentication (JWT), and granular permissions ensuring staff can only access features authorized by the restaurant owner.
- Encrypted Local Storage: Offline caching on mobile/browser terminals utilizes browser sandboxing and secure local storage mechanisms.
- Automated Backups: Cloud databases undergo periodic automated backups with disaster recovery procedures.
5 Third-Party Services
To deliver our cloud infrastructure and services, we may partner with reputable third-party infrastructure providers that comply with privacy and security standards:
- Cloud Hosting & Server Infrastructure: Reputable cloud data centers hosting our application APIs, databases, and media assets.
- Communication Gateways: WhatsApp Business API and SMS gateway providers for order notifications, login OTPs, and customer support (only when enabled by the tenant).
- Payment Gateways: Regulated payment aggregators (e.g. UPI QR code providers, payment gateways) for processing digital payments. OrderVaani does not store raw credit card numbers or banking passwords.
6 Cookies & Local Storage
We use essential cookies and browser LocalStorage / IndexedDB solely to keep you logged in, persist offline order queues, remember active counter preferences, and analyze anonymized site traffic for performance troubleshooting. We do not use third-party cross-site advertising tracking cookies.
7 Data Retention & Your Rights
Restaurant owners have full control over their account data. At any time, you may request:
- An export of your historical sales, menu items, and inventory records.
- Correction of inaccurate billing or account information.
- Account deactivation and deletion of your tenant database upon termination of services, subject to mandatory statutory tax and accounting retention requirements under applicable Indian laws.
